Step 1: Clarify What You Should Be Tracking

Before building dashboards or summaries, you need to identify the right KPIs.

Instead of tracking everything, focus on what aligns with your goals: profitability, growth, efficiency, or customer experience.

Prompt:

“Act as an Amazon analytics expert. I run a [private label / wholesale / hybrid] business. My goals are [e.g. reduce ad spend, increase organic ranking, grow repeat customers]. What are the top 8 KPIs I should track weekly and monthly?”

👉 ChatGPT may suggest KPIs like:

  • TACoS (Total Advertising Cost of Sale)

  • Organic vs. Paid Traffic Ratio

  • Repeat Purchase Rate

  • Buy Box Percentage

  • Inventory Sell-Through Rate

  • Review Velocity

  • Session-to-Sale Conversion Rate

  • Refund Rate

Each one should have a specific reason for being tracked—ChatGPT will help explain why.

Step 2: Group KPIs by Focus Area

Too many metrics? Group them into logical sections for easier review and team alignment.

Prompt:

“Organize these KPIs into dashboard sections: Marketing, Sales, Operations, and Customer Experience. Add a 1-sentence explanation for each.”

This helps you review the right things at the right time—whether it’s weekly check-ins or monthly strategy calls.

Step 3: Create Weekly + Monthly Summary Templates

Next, have ChatGPT generate short summary formats you can reuse or give your VA/team.

Prompt:

“Write a weekly KPI summary format for my Amazon business. Include placeholders for KPIs and a short insights/commentary section. Then do the same for a monthly summary.”

You’ll get editable templates like:

ChatGPT can also help fill in summaries once you paste the raw data.

Step 4: Add Commentary and Recommendations

Numbers alone are not insights. Use ChatGPT to explain why something changed—and what to do about it.

Prompt:

“Here are this week’s KPI values: [paste data]. Summarize what’s going well, what needs attention, and suggest next steps.”

You’ll get natural-language insights like:

“Sales grew 8% week-over-week, mostly driven by increased organic sessions. However, refund rate spiked to 5%—consider reviewing recent negative reviews or product quality issues.”

This turns your dashboard into a decision-making engine.

Step 5: Visualize with Simplicity

Finally, ask ChatGPT to suggest how your KPIs could be visualized for clarity—even if you're building them in Notion, Sheets, or a tool like DataStudio.

Prompt:

“Suggest a clean dashboard layout using Notion or Google Sheets for the KPIs below. Include table structure, color coding ideas, and tips for quick weekly reviews.”

You’ll get:

  • Section headers (Marketing / Operations / Sales)

  • Traffic light colors for performance (green = good, yellow = monitor, red = urgent)

  • Room for weekly notes or action items

You don’t need a fancy BI tool to stay informed—you need focus and consistency.
