With a few prompts, you can extract what you do daily—and turn it into checklists, SOPs, onboarding guides, and repeatable systems.

Let’s get it done.

STEP 1: Brain Dump the Process (No Filter)

The goal here isn’t perfection—it’s to get everything out of your head.

Just describe what you do, even if it's messy. 

You don’t need structure. You need raw material.

Prompt:

“Act like a systems consultant. I’m going to describe the way I currently handle [task or process]. Turn my messy explanation into a clear sequence of steps and ask follow-up questions to fill gaps.”

For example: “I usually check my PPC campaigns daily. I look for ACoS spikes, pause bad keywords, lower bids if ACoS is over 40%, and then I take notes in a spreadsheet.”

What ChatGPT will do:

  • Turn that into a clean, numbered list

  • Identify gaps (e.g., are you checking conversions? Which campaigns? What’s the bid adjustment logic?)

  • Help you clarify edge cases (e.g., what if there's no data that day?)

This gives you a first draft of your workflow—with zero guesswork.

STEP 2: Turn It Into a Clear SOP

Once you have the process outlined, ask ChatGPT to format it like an SOP (Standard Operating Procedure).

Prompt:

“Turn this workflow into a clear SOP with:

– Task name

– Objective

– Tools used

– Step-by-step instructions

– Tips or common pitfalls

– Frequency (daily, weekly, etc)”

Example output:

Boom. You’ve got a documented process ready to delegate or standardize.

STEP 3: Customize for Skill Level

You can also tailor the SOP for different team members—beginners vs. advanced.

Prompt:

“Rewrite this SOP so it’s easy to follow for a VA with no Amazon experience. Include extra explanations, screenshots suggestions, and checklist formatting.”

Or:

“Rewrite this SOP for an experienced Amazon PPC manager who just needs the core structure.”

This makes onboarding faster, smoother, and more effective—whether you're hiring help or replacing yourself in a task.

STEP 4: Build Repeatable Templates

Now that you have one SOP, turn it into a template you can use for all future processes.

Prompt:

“Create a reusable SOP template I can copy/paste for other tasks. Include placeholders like [Task Name], [Owner], [Frequency], [Tools], [Steps], etc.”

This helps you document everything—from order tracking to influencer outreach—without starting from scratch every time.

STEP 5: Organize It for Your Team

Structure your processes in a clean format your team can access easily.

Prompt:

“Group these SOPs into categories like Marketing, Logistics, Product Research, and Customer Service. Suggest a structure for storing these in Google Drive or Notion.”

You now have a living playbook—one that scales with your business.
